Cancellation Policy

At ZenZone, we strive to provide the highest quality service to all our clients. To ensure that we can accommodate everyone and maintain our standards, we have implemented a cancellation policy that requires at least 24 hours’ notice for any appointment changes or cancellations.

Why 24 Hours’ Notice?

When you book an appointment with us, we reserve that time exclusively for you. Our therapists prepare in advance to provide you with the best possible service. By providing us with at least 24 hours' notice, you allow us to offer that time slot to another client who may be in need of our services. This helps us manage our schedule efficiently and continue to provide exceptional care to all our clients.

How to Cancel or Reschedule

If you need to cancel or reschedule your appointment, please contact us via email at zz.mwsmornington@gmail.com at least 24 hours before your scheduled appointment time. When you email us, please include your name, appointment date and time, and a brief reason for the cancellation or rescheduling. We will respond to your email promptly to confirm the change.

Late Cancellations and No-Shows

We understand that emergencies and unexpected situations can arise. However, late cancellations (less than 24 hours’ notice) and no-shows have a significant impact on our business. When an appointment is missed or canceled late, it is challenging to fill that time slot on short notice, resulting in lost revenue and missed opportunities for other clients to receive treatment.

To manage this, we have implemented the following policy:

  1. Late Cancellations: If you cancel your appointment with less than 24 hours' notice, you will be charged 20% of the service fee. This charge will be applied to the credit card on file or billed to you directly.

  2. No-Shows: If you do not show up for your scheduled appointment without any prior notice, you will be charged 50% of the service fee. This policy helps us compensate our therapists for their time and ensures fairness to other clients who may have wanted an appointment.

Exceptions

We understand that life is unpredictable, and certain situations are beyond your control. If you experience a genuine emergency or an unavoidable circumstance that prevents you from canceling within the required timeframe, please contact us as soon as possible. We will consider these situations on a case-by-case basis and may offer leniency at our discretion.
